Move-out and deposits

Move out ends a tenancy properly: it settles the final bill against the deposit, records deductions, and works out the refund or the balance still due.

Start the move-out

Open the space and choose More actions → Move out. The final bill must be complete: record any missing reading or turnover first.

Fill the statement

    Check the final bill

    Final bill shows the total due and whether it is paid.

  2. 2Deposit

    Check the deposit

    Deposit held shows the deposit from the lease. If none was recorded, type what you hold.

  3. 3Deduct

    Add deductions

    Tap Add deduction for each charge against the deposit — Cleaning, Late fee or Service fee — with a label, an Amount and an optional note.

  4. 4Arrears

    Choose arrears to settle

    Under Arrears to settle, every unpaid earlier bill for this space is switched on. Switch off any you want to keep collecting separately.

  5. 5Apply

    Apply the deposit

    If the final bill is unpaid, Apply deposit to final bill pays it from the deposit. It is on by default.

Read the summary

Summary adds it up: the deposit held, minus deductions, minus the arrears and final bill it settles. What is left is the Refund to tenant; if the deposit does not cover everything, the difference is the Balance due.

Confirm

Tap Move out and confirm. Letnook says Moved out · record kept.

  • The space stays on the plan with its code, zone and charges, and becomes Vacant.
  • The tenancy — tenant, lease, documents and statement — is archived. The space shows it as Last move-out, and Excel lists it under Past tenants.
  • An unpaid final bill that was not settled from the deposit becomes arrears.
